Montclair PTO Meeting Minutes – 7:00 pm – April 21, 2016

Minutes are posted in the hallway a few days after the meeting and on the website MontclairPTO.org.

 

Sean Leverty:

Wednesday, May 4 at 6:30 pm – Parent Info Session around Cyber Awareness.

It’s for parents to come learn how to be informed about online safety and how you can protect your kids. One of our SRO (School Resource Officer) will lead the presentation.

Saturday, May 14 at 10:00 am – Grounds Beautification work party.

Hope Depot will be coming to do fencing. We will have bark chips here provided by the district and will be putting bark chips on the track. Bring shovels, wheelbarrows, and kids if they’d like to help out.

Testing this year, because of our new Chromebooks, is going well…we can test whenever and wherever…we can have two grade levels testing at the same time.

Thank you to everyone who was at the auction! Thank you to everyone who ran it and volunteered at it. It was so nice to see new faces.

 

Amanda Elliott, Teacher Liaison:

There are still lots of spots for the Almost All Night Party. It’s on Friday, June 10. Parents can sign up in the office with Karen.

Will ask Karen to send some emails to parents and PTO will send a flyer home in early May.

 

Comment from Amy Nokes: We should notify people that there is a Facebook page: Montclair School Community that is open to all Montclair parents.

BY LAW CHANGE:

We want to change the verbiage of the two year maximum per position so if a person would like to stay in the same position for more than two years, they can.

CURRENT BYLAWS, ARTICLE 5, SECTION D:

d)    The election of new officers for the coming school year shall be held at the April meeting. Officers shall be elected for a term of one year, and shall assume their official duties at the last PTO meeting of the school year after the outgoing PTO officers have completed their business for that year, with exception of the treasurer's term. Officers shall be ineligible for more than two consecutive terms in the same position.

 

PROPOSED CHANGE TO BYLAWS, ARTICLE 4, SECTION D:

COMMENT from Ross Bradshaw: I think it’s very important to keep the wording how it is, I would propose that we have a one-time exclusion, but keep the two year consecutive term.

 

COMMENT from Cindy: This rule change was proposed last month and we’re hoping to vote on it tonight so we can vote Kelley in tonight. I understand the concern. The bylaws can be changed next year if the new board decides to put the two year consecutive verbiage back in.

CarolAnne Tsai, Volunteer Coordinator:

                We still need people from Jump Rope for the Heart. If you can come, it’s from 9:00-11:30 or 12:00-3:00

The PTO was not involved in the planning of this event, so in the future, we’ll try to make sure to give more advance notice for volunteer opportunities.

Morning with Moms – Tim Garey is doing it again one last year. We’ll need a new chair next year.

Field Day – Do we have a coordinator? (Ali doesn’t know…looking in to it)

COMMENT from WENDY PRINGLE – staff lunches. We need a 3rd grade coordinator and a Kinder parent coordinator. Will be sending an email to Kinder parents to find a coordinator.

Q from Amy Nokes: What do Staff Appreciation lunches look like?

A from Wendy Pringle: Once a week each grade is in charge of providing lunch for the whole staff. Each grade has a coordinator. They ask for food (potluck style) or money (for catering) and the coordinator figures out what the lunch will be.

 

Kelley Stine, Treasurer:

Budget was presented and is attached.

We’re waiting on the Visa transactions for the Auction.

Budget committee. I need to put together a budget committee.

Budget will be presented in May Newsletter and will be voted on at the May meeting.

 

Ali Van Camp, Volunteer Coordinator:

We didn’t do nearly as well this year as in years before. After costs, we have earned about $17,000. Some funds might trickle in with the Sensational Signups.

We had more people this year, we had new families, we did have a few less items…having the push for tickets at the end was good, we had a lot of people walk in and buy tickets at the door.

Robert and I will not be coordinating it next year, so whoever coordinates it, I am willing to help out and answer questions.

 

OPEN COMMENTS:

 

Susan from SuperPlay. I am here to advertise restaurant and a bar. We are in a position where we would like to reach out to the community. We have fundraisers and field trips. We have some fun fundraising promos.
