Minutes are posted in the hallway a few days after the meeting and on the website MontclairPTO.org.
Fun Run is coming October 2. The Fun Run is our first big fundraiser of the year, it’s our second largest fundraiser of the year. The Fun Run is really a way for the kids to focus on being healthy and have fun…get pledges from family members, neighbors, friends per lap that they run. It’s per lap or a flat fee.
Yesterday we went into the classrooms and roleplayed and explained what the Fun Run is, we went through a couple scenarios about how to get funds.
It’s all day, each grade has a time when they go out to run the track. Dutch Bros is donating coffee for the event for adults. You’ll see an email shortly asking for volunteers. Each class will have a color designated, and we’ll have three different stations where the kids check in per lap, so spaced out better for the kids this year.
Each grade will have an hour time slot which includes warming up and a cooling off period where they record laps and eat a popsicle. Each grade runs for about 35-40 minutes.
Parents can run with their kids too. New this year, we have a competition: the classroom that brings the most money in will get a class party with catered pizza and Alpenrose is donating ice cream.
Email will be going out to volunteers for a phone bank to call new parents to increase awareness for the event. It’s just to promote extra awareness for the event, not to collect money.
The goal is $20,000. We have 400 students. If each student brings $50, we could reach that goal. 100% of the proceeds go to the school!

Amanda Elliott, Teacher Liason:
As the Teacher Liason, I pass along info to teachers or bring info from them.
Thank you for the discretionary check in our mail box. School is off to a great start! So many new students, we’re at 393. Things are going good.
Thank you to all the volunteers that helped out the first few weeks with the Kinders. It helps so much.
Comment from Cindy Badon: To clarify, the discretionary funds for those that don’t know. Each grade gets a certain amount of funds per students from the PTO, but we also give each teacher $150 for the quick little things that they purchase for their individual classrooms.
Carolanne Tsai, Volunteer Coordinator:
Volunteering…If you are new, please do a background check, you can fill those out online. Volunteers make our school so special. Every time you see a volunteer in the hall or making copies, that time is time our teachers are teaching our kids. Thank you!

The auction date is Saturday, April 16, 2016 at Multnomah Arts Center!
Communication…The main way we communicate is via email. We send through our software called HelpCounter and sends from Montclair PTO…please check your spam folder if you’re not receiving emails.
If you look at the Volunteer Form, we do have one time events on there that still need coordinators, so if there is anyone out there who might be interested in heading up the Winter Fundraiser event, we still need a chair. We’re moving it from the Spring so it’s further away from the Auction. It’s a fun family-friendly evening (coinciding with the Scholastic Book Fair) event with raffle items/baskets…the kids get to come, they can win teacher times with teachers. It’s an event the kids really love, but it can’t happen if we don’t have a coordinator. Contact Ali or CarolAnne if you’re interested or have any questions before you commit.
Background checks: The rule has usually been that every two years you need to do a background check. But we are getting new software, and the new software links the background check and volunteer profile, so we’ll be doing that when we get the new software mid school year. So if you haven’t done a background check ever, you need to do one, but if you’ve done one before, you can wait until we have the new software to do another one.

Budget was presented. We are making money for next years’ budget now.
Going over some of the budget items:
After school clubs — we haven’t had for a few years, but we hope that staff can support it this year, so we keep it on the budget.
Art Literacy — We don’t have art teachers, so we have volunteers come into the classroom and focus on a different artist, talk about the art, and usually children recreate art in a similar style.
Comment from Wendy Pringle: It’s an art history lesson and doing a piece of art in that genre. The first one is Walt Disney.
A/V — lightbulbs for classroom projectors
Battle of The Books – Kids are given a list of books to read from the Oregon Battle of The Books list, grades 3-5, and then battle in a question/answer style.
Biz Town – 5th graders Junior Acheivement.
Clothes Closet – Clothing and supplies for Beaverton School District families. Montclair’s day is in April, we need 3-4 volunteers for shifts during the day. There is a lot of sorting and processing that they need help with.
Principal Discretionary Fund – It’s a huge line item, we do such amazing fundraising. So we give money to Mr. Leverty to fund things that the district isn’t funding but we have a need.
Team Funding – Team Funding is a dollar amount per student. Teachers usually work together as a grade to use the money…field trips, items that we would share throughout the grade level
Technology – We got some district funding for technology so we have a large amount in that line item. We don’t usually roll over money from year to year, but we started to realize that Technology is one of those categories we should be able to roll over so we can purchase larger items to invest in something big for the whole school. Last year we made a big push to purchase Chrome Books for the students, but we’ll be getting funds through the Future Ready Grant.
Comment from Wendy Pringle: With the Staff Appreciation budget, we revitalized the staff room over the summer. It had been the same for 40 years, Sean and a few of us revitalized that. We’d like to work on the kitchen sometime in the next year…to make it a better eating area for our teachers and staff. Sean spent some of his discretionary funds on paint.
Art Lit…thank you for the funding. It’s such a treat to be able to do it. If you have questions, come talk to me and I can get you on the list…you can even do projects at home if you’d like.

The Hawkeye comes from the school on Thursdays. The office is still updating their email list.

Scrip…Scrip is the easiest way for the school to make money! We had 10 people do it, we made $150. If we had more people do it, we could make a lot more money. We get a percentage back from the gift cards purchased. You pick your cards up in the office from Karen or Teri. Forms are available in the office or on our webpage.

We collect Labels for Education and Box Tops for Education.
Labels for Education – Are on soup cans. All I need is the label. We bought PE equipment with the labels last year.
Box tops – I just need the label, you don’t have to put them on the sheet. There is a box in the office under the volunteer sign in computer where you can drop them off. If your student drops them off, they can get a Hawkeye from Teri or Karen.
Thank you to the PTO for funding the PLEASE SLOW DOWN kids walking signs. There are 18 signs up now, we have 2 left.
